Position Summary
The
Special Events Director is a key member of the Parker County Chamber of Commerce team, responsible for the planning, coordination, and execution of events that strengthen the Chamber’s mission to support business growth, foster community connections, and drive economic development. From high-profile annual events to intimate networking gatherings, this position ensures that every Chamber event is well-organized, impactful, and aligned with the Chamber’s goals for
member engagement, brand visibility, and non-dues revenue generation.
This role combines logistics, creativity, relationship management, and a passion for community to create experiences that reflect the Chamber’s position as
Parker County’s leading business connector and advocate.
Key Responsibilities
Chamber Event Planning & Execution
- Plan and execute a variety of events including (but not limited to): Annual Banquet, Networking Luncheons, Mixers, Golf Tournament, Legislative Trips, Ribbon Cuttings, and Member Celebrations.
- Manage all event logistics: venue booking, vendor contracts, catering, décor, AV, signage, registration, volunteer needs, and on-site coordination.
- Develop detailed event plans, budgets, production schedules, and post-event evaluations.
- Ensure events consistently reflect the Chamber’s brand, professionalism, and commitment to the business community.
Sponsorship & Revenue Support
- Work with the Business Engagement Director to develop sponsorship opportunities and deliver sponsor benefits before, during, and after events.
- Support sponsor stewardship by maintaining excellent communication, recognition, and reporting.
- Assist in creating sponsorship decks and post-event recaps that demonstrate ROI and engagement.
Promotion & Marketing Support
- Partner with the Social Media Coordinator to promote events through digital channels, printed materials, media releases, and newsletters.
- Create or coordinate production of marketing collateral such as invitations, flyers, name tags, signage, and event programs.
- Capture key moments for post-event stories and sponsor recognition.
Member & Community Engagement
- Serve as the main point of contact for event-related inquiries, registration, and coordination.
- Cultivate strong relationships with members, vendors, and volunteers to enhance the Chamber’s event experiences.
- Recruit, organize, and direct volunteers and ambassadors for event support.
- Monitor post-event feedback and participation data to improve future programming and member value.
Qualifications
- 2+ years of experience in event planning or related roles; experience in a Chamber of Commerce, business association, or nonprofit is strongly preferred.
- Strong organizational and project management skills with the ability to manage multiple events and competing deadlines.
- Excellent communication and interpersonal skills, especially with business leaders and community stakeholders.
- Proficient in Microsoft Office, Google Docs, Canva, and event software; familiarity with CRM systems like ChamberMaster a plus.
- Availability to work early mornings, evenings, and occasional weekends for event coverage.
