Bookkeeping & Mail Clerk - Part Time - 20 hours/week

The Bookkeeping/Mail Clerk is an essential role within the NSBA, requiring a detail-oriented professional to support the organization's financial health and daily administrative operations. This position is critical to the association’s success, ensuring that all incoming revenue is accurately processed and recorded while maintaining a smooth, organized flow of information across the office.

This is an in-person position located at our Weatherford, Texas office. The position is available for Part-Time hours with the potential to expand into a Full-Time Administrative Role based on the needs of the association and performance of the applicant.

Key Responsibilities
I. Bookkeeping & Financial Support (Primary Focus)

  • Revenue Processing & Recording: Accurately prepare for deposit all incoming checks, cash, and electronic credit card payments.
  • Data Entry: Enter financial transactions (deposits) into Excel to class and maintain accurate and up-to-date detailed records of deposits, and work with Lead Bookkeeper to resolve any discrepancies promptly.
  • Filing: Maintain a clean, organized, and secure filing system (both physical and digital) for all financial documents.
  • Documentation Support: Assist the Lead Bookkeeper with month-end and year-end procedures, including compiling documentation for audits or financial reports                                                     
II. Administrative Support
  • Mail Management: Open, sort, and distribute all incoming mail and prepare outgoing correspondence and packages.
  • Office Support: Perform essential administrative tasks, including making copies, scanning documents, and handling basic correspondence.
  • Supply Management: Monitor and maintain office supply inventory, placing orders as needed to ensure the smooth operation of the office.
Qualifications & Skills
Required:
  • Preferred Experience: Experience in an administrative support role, with exposure to basic bookkeeping or accounting functions is preferred.
  • Technical Proficiency: Competency with Microsoft Office Suite (especially Excel and Word) and the ability to quickly learn new software systems.
  • Integrity: Must maintain confidentiality when handling financial and member information.
  • Organizational Skills: Exceptional attention to detail, organization, and time management skills.
Additional Requirements:
  • Ability to lift 50 pounds, to sit or stand for extended periods of time
  • Transportation, valid State Driver’s License, at least 21 years of age
